Viewing requests
The agent takes the customer's viewing request; your team confirms the time.
When a customer says "Can I see the unit on Saturday morning?", the agent records a viewing request. It doesn't book or confirm a slot: it tells the customer the request is noted and a consultant will confirm the exact time, and your team does the confirming.
What the agent collects
- The unit or project they want to see. A unit must be Available; if it's been reserved or sold, the agent says so and suggests similar units.
- A preferred day: from today up to 60 days ahead. "Saturday" means the next Saturday.
- A time window: morning, afternoon, evening or any time, or an exact time if they give one.
- If the customer mentions them: an alternative day, whether it's a video-call viewing, and any notes.
- If it still doesn't have the customer's name or phone, it asks for them.
Days off
If the chosen day is a day off in your working hours, the request is still saved and the agent tells the customer the team will confirm or suggest another day. Viewings only happen during working hours.
What happens after a request
- The request appears in CRM → Viewings and in the lead's activity, tagged AI request, confirm the time.
- The lead moves to the Viewing stage if it was at an earlier one.
- The owner, managers and sales agents get a "Viewing request" notification.
- If the customer changes the day for the same unit, the agent updates the same request instead of creating a new one.
- If nobody confirms within 2 hours, the owner and managers get one "A viewing request needs confirming" nudge.
Confirm the viewing
Open the request
From Viewings or the lead page, open the request and click Edit.
Set the time
Pick the Date and Time (in your company's timezone), a Meeting point such as "the compound gate" or "the sales office", and Who's going from your team.
Save and tell the customer
Once saved, the request becomes a confirmed viewing and the tag disappears. Message or call the customer with the time from the conversation: PropDrop doesn't send the customer a confirmation by itself.
About an hour before the viewing, whoever is going gets a reminder (or the owner and managers if nobody is assigned). Afterwards, record the result. Viewings
Try it in the test chat
In the test chat write "Can I see the unit on Saturday morning?" and you'll see under Would happen for real that the agent would create a viewing request, without anything actually being saved.
